University procedures on the Dean's behalf. In addition, the Dean's
Assistant is responsible for numerous special projects that are critical
to the operations and marketing of the College of Engineering. The
Dean's Assistant must have the ability to handle multiple work
priorities and be accountable for their results, use independent
judgment to make decisions, interpret and apply a wide range of policies
and procedures, follow standard procedures and practices and determine
appropriate solutions to a wide range of administrative problems related
to the day-to-day operations of the College. The Dean's Assistant also
provides direct, confidential support to the Dean, which requires
researching, analyzing and presenting information to the Dean and/or on
the Dean's behalf; assuring that deadlines are met by the Dean's Office
and departments; and maintaining the Dean's complex calendar.
Salary Range
Salary Range:
$3,074 - $4,615 per month (Anticipated Hiring Salary Range: $3,074 -
$4,000 per month). The competitive salary offered to the selected
candidate is determined by the education, experience, and qualifications
the candidate brings to the position, internal equity, and the hiring
department's fiscal resources.
Responsibilities
The Assistant to
the Dean is responsible for, but not limited to: overseeing the annual
process by attending meetings to remain current on the University's RTP
procedures; advising candidates, committee chairs, department staff and
the Dean on the handling of special situations; serving as liaison
between the College and the Office of Faculty Affairs by working closely
with the University level RTP analyst to assure a smooth flow of the
process, that the deadlines for each stage of the process are met and
that the appropriate files are moved along in the process as necessary;
overseeing the College's sabbatical leaves/difference-in-pay programs by
assuring that all faculty are notified of their eligibility and that
their requests and subsequent paperwork are submitted accurately and
according to protocol; maintaining a thorough understanding of the
faculty periodic evaluation process to assure that all University
guidelines are followed; notifying departments of required evaluations
and advising on procedure when required; reviewing evaluation letters
for post-tenure review and periodic evaluation when requested; following
up on all missing evaluations; assuring that evaluations of department
chairs occur as required by University policy; acting as the College's
resource during the Academic Planning process which requires an
understanding of faculty workload, assigned time and workload related to
supervision; reviewing and advising department staff on the academic
planning process; collecting and proofreading assigned time evaluation
reports for the College; working closely with the College's Resource
Manager to assure that faculty teaching assignments are properly
reflected on all reports and maintaining academic planning records and
reports for the College faculty; acting as the Dean's Office liaison to
the Office of Employee Relations and Compliance and to Faculty Affairs
during the tenure-track hiring process; assisting the Dean with search
planning, authorization and accountability; preparing necessary
paperwork to complete faculty hires; developing and administering
performance exercises to candidates; maintaining a thorough
understanding of University policy and procedures related to staff
personnel issues; advising department chairs and Dean's Office staff on
hiring procedures and policies; developing and administering performance
exercises to candidates; serving as a member of selected staff search
committees in the College as the Dean's representative; and providing
training for new employees and/or assures that training is provided
within the College; assuring that all annual staff performance
evaluations are completed and submitted in a timely manner in accordance
with University policy; facilitating regular All-Staff Meetings led by
the Dean; holding monthly Administrative Staff Meetings where College
and University information is disseminated; planning for and carrying
out events and activities to increase staff and faculty morale and
enthusiasm including off-campus academic year kick-off events (100+
attendees), holiday parties, retirement events, etc.; with both general
and specific responsibilities in the overall operations of the College
of Engineering, serving as an administrative resource for faculty and
staff on a variety of University policies, procedures, contacts,
operations, etc., as well as general operations in the College; triaging
questions/requests coming to the Dean and handling directly those that
do not require his immediate attention and/or expertise; working closely
with the Dean to assure he is aware of issues that require his
attention; providing direction for administrative coordinators regarding
University policy/requirements; ensuring that established deadlines are
met; participating in bi-weekly office meetings with the Dean,
Associate Dean and Resource Manager; acting as the College liaison with
other offices on campus; working with College committees as needed;
regularly establishing and maintaining procedures within the College to
properly report access to confidential data to Academic Affairs to
mitigate risk; assisting the Dean with the functioning of the College's
Executive Committee by scheduling meetings, suggesting agenda items for
the Dean's consideration; taking and distributing minutes and following
up on items as required; planning and carrying out the annual Faculty
Retreat held in August and monthly All-Faculty meetings (this includes
suggesting agenda items for the Dean's consideration, contacting and
organizing speakers and all logistics); periodically leading
administrative aspects of College-level accreditation activities;
maintaining a thorough knowledge of the College's development
priorities, major donors and development activities; consulting with the
Dean and College administrators on marketing messaging and positioning
with all constituent groups; making suggestions in these areas for the
Dean's consideration; maintaining an understanding of University
Relations and Development (URAD) policies and procedures to assure that
they are properly implemented in the College and maintains BSR Advance
clearance; organizing all administrative aspects of the bi-annual
Engineering Dean's Advisory Board meetings; serving as the primary
administrative contact for 25 industry leaders who are members of the
Board; producing collateral materials and annual member directory;
producing and/or leading production of marketing materials including
College's brochure, annual fact sheet, electronic newsletter and
website; maintaining and closely monitoring/scrutinizing the Dean's
highly changeable and complex calendar; providing direct, confidential
support for the Dean by researching and analyzing information from a
variety of sources in order to draft and preparing correspondence and
reports, at times including sensitive and confidential information;
formatting and finalizing presentation materials as requested;
formatting and preparing the annual Academic Plan, Annual Report and
accreditation materials as required; reviewing the Dean's incoming
correspondence and monitoring/preparing responses as appropriate; acting
as liaison, on behalf of the Dean, to outside agencies and campus
offices; responding to inquiries from media, government officials,
College donors, campus agencies and students; and organizing
responsibilities, issues, action items and deadlines for the Dean's
review, often based upon University procedures and in collaboration with
other units on campus.
Knowledge, Skills & Abilities
The ideal
candidate will possess knowledge of general university infrastructure,
policies and procedures. Working knowledge of budget policies and
procedures. Ability to organize and plan work and projects including
handling multiple priorities; make independent decisions and exercise
sound judgment; compile, write and present reports. Demonstrated ability
to establish and maintain effective working relationships within and
outside the College of Engineering and serve as a liaison to many other
units in the University and the community. Thorough mastery of English
grammar, punctuation, and spelling.
Experience and Education
High school
diploma or equivalent and three years of office coordination experience.
Bachelor's degree may substitute for one year of the required work
experience. Experience serving in an administrative support/executive
assistant position to a high-level leadership role such as department
chair, dean, vice-president, etc.
Specialized Requirements
Intermediate to
advanced knowledge of MS Office Programs: Word, Excel, PowerPoint,
Outlook and calendaring systems. Familiarity with SDSU's Webportal, PI
Profile, Oracle and BSR Advance. Thorough familiarity with event
planning. Working knowledge of graphic design, layout, photo editing and
website support.
Preferred Qualifications
Bachelor's degree
and/or master's degree. Experience working at a university; producing
collateral materials such as newsletters and brochures; and working with
websites. Two years of administrative/executive experience. Previous
lead/supervisory experience including hiring, training, and setting work
priorities.

Summary:
The SUBLAN
Instructor will be responsible for instructing all facets of SubLAN
courseware to include new material involving COMPOSE 4.0, Virualization,
ADNS, and SCI network integration.
Essential Duties and Responsibilities include the following (but not limited to):
- Delivers courseware to Submarine Base instructors by conducting PowerPoint presentations, testing, and laboratory evolutions.
